The problem
A manufacturer of telecare and monitoring devices ran its whole operation — every device, every client and every assignment — out of a single, enormous Excel file. It had grown so large that it lagged and froze, and with many people editing it there was no reliable way to see who changed what, or to stop bad data from creeping in.
For a medical-device company that is risky: each unit carries serial numbers, SIM cards, phone numbers, production orders and product-card IDs that must stay accurate and traceable from production to the client using it. A spreadsheet could neither enforce that nor adapt to how the company actually worked.
What we built
We replaced the spreadsheet with a custom web application — behind login, with roles — built around two connected registries: devices and clients. Each device record holds everything the team tracks (serial number, SIM, phone number, hardware, production order, product-card ID, production date) and is linked to its current state and the client it is assigned to.
It keeps the familiarity of a spreadsheet — saved views, configurable columns, advanced filtering, instant search, import/export — but adds what Excel never could: validation that limits data-entry mistakes, a full change history (who changed what, across the whole team), and roles that control who can edit.
Because it is bespoke, the system bends to the company’s processes instead of the other way round: custom workflows and automations run on top of the same clean data, such as generating service cards, importing units straight from production, and handling sales and rentals.
The result
The giant, freezing spreadsheet became a stable system the whole team works in. Data-entry errors dropped thanks to validation, and every change is now visible and attributable — each employee can see their own and colleagues’ edits, which matters for a regulated medical product.
Most importantly, the tool fits the business: custom workflows like service-card generation and production imports run on the same clean device-and-client data, making day-to-day operations faster and more reliable than any spreadsheet allowed.
